Order Overview – The “Orders” Section

Your central control panel for all incoming orders.

The “Orders” tab in the RxScale Admin Tool is your central control panel for all incoming orders. It consolidates information from your shop, the patient, the doctor, and the pharmacy into one unified view.

These buttons are located at the top of the order detail page and control the overall order process.

Button

Function

RELOAD

Reloads the latest data for the order

RESTART

Restarts the entire process (e.g., doctor review)

CANCEL

Cancels the entire order and stops further processing


1. Order List Overview

When you open the “Orders” tab, you'll see a list of all registered orders.

Column

Description

Shop ID

Internal order number

Name

Customer name or order label

Status

Current processing status (e.g., Completed, Declined, Waiting)

Shop

Source of the order (e.g., shop URL like myshopify.com)

Updated At

Last update timestamp

Created At

Date and time when the order was created

Filter Options

You can filter the order table by:

  • Prescription Status ( SIGNED , APPROVED , DECLINED )

  • ON HOLD

  • WAITING FOR DOCTOR

The integrated search function allows you to quickly locate specific orders.


2. Order Detail View

Clicking on an order opens the full Order Detail View. This view is divided into structured sections for better navigation.

Shop Information

Field

Description

Shop Identifier

Domain of the connected webshop (e.g., Shopify)

Customer E-Mail

Customer’s email address from the shop

Added to RxScale

When the order was first imported into RxScale

Updated in RxScale

Timestamp of the latest update in RxScale


Address Information

Field

Description

Billing Address

Customer's billing address (name, street, ZIP, city)

Delivery Address

Customer's shipping address

Actions:

  • Edit Billing Address : Update the billing address

  • Edit Delivery Address : Update the shipping address (e.g., due to changes)


Patient Information

Field

Description

Name / Surname

Full name of the patient

Birth Date

Patient's date of birth

Patient Fields

Additional answers from the questionnaire

Total Orders

Number of past orders placed by the patient

Created / Updated

Timestamps for data entry and last update

Actions:

  • View Last Order : Opens the patient’s most recent order

Order Items

Displays all products in the order, including linked questionnaires and details.

Field

Description

Product Name

Name of the ordered product (e.g., Paracetamol)

SKU

Product identifier / stock keeping unit

Quantity

Number of units ordered

PZN

Pharmaceutical central number (if available)

Questionnaire

Link to the filled-out questionnaire

Actions:

  • VIEW : Opens the completed questionnaire

  • CHANGE ITEM : Modify the ordered product

  • CHANGE QUANTITY : Adjust the product quantity

  • CHANGE PHARMACY : Update the assigned pharmacy

  • DELETE ITEM : Remove the product from the order


Prescriptions

Lists all prescriptions linked to the order, including doctor info, status, and notes.

Field

Description

Prescription ID

Unique ID of the prescription

Status

e.g., Signed, Approved, Declined

Doctor

Assigned doctor for the prescription

Type

Type of prescription (e.g., Physical, Digital)

Issues

Doctor-reported issues or questions

Doctor Note

Free text note from the doctor for clarification

Actions:

  • RESEND : Re-send the prescription to the doctor (e.g., after corrections)

  • CHANGE DOCTOR : Assign a different doctor

  • DOWNLOAD : Download the prescription as PDF (if available)


Pharmacy Orders

This section shows whether an order has been forwarded to a pharmacy, including current status, timestamps, and tracking information.

Overview:

Field

Description

Order ID

Internal ID of the pharmacy order

Pharmacy

Name of the assigned pharmacy

Date

Date and time of the pharmacy handoff

Status

Current pharmacy processing status (e.g., “Waiting For Pharmacy”)

Tracking ID

Shown once the pharmacy initiates shipping

Carrier / Track

Shipping provider and tracking link (if available)

Actions:

  • REFRESH : Reload the current status of the pharmacy order

  • RESEND : Resend the order to the current pharmacy

  • SWITCH PHARMACY : Reassign the order to a different pharmacy

  • CANCEL : Cancel the pharmacy order completely


Order Timeline

The Order Timeline logs the full history of the order, ideal for internal communication and tracking.

Comment Field

Add internal notes or questions for the team

Timestamp

Every action or update is logged with date and time

Actions:

  • POST COMMENT : Add a comment to the order timeline
